1. Who is responsible for your data
Geoff's Lab is the controller of personal data described in this policy. We are a Malta-based software development and technical support provider. Privacy questions and requests can be sent to info@geoffslab.com.
2. Information we collect
Depending on how you interact with us, we may collect:
- contact details such as your name, email address, telephone number and company;
- information you submit about a project, system, support issue, timeline, budget, hosting, backups or service requirements;
- messages, attachments and other content you choose to send by email or WhatsApp;
- basic technical and security data, such as IP address, browser information, timestamps and server logs; and
- your cookie preference and any optional analytics information where you have permitted it.
Please do not send passwords, payment-card details, private encryption keys or unnecessary sensitive personal information through a contact form or WhatsApp.
3. Why we use personal data
We use personal data to answer enquiries, assess and quote for work, deliver software and support services, administer client relationships, diagnose technical issues, protect our website and systems, maintain business and accounting records, and meet legal obligations.
Our legal bases under applicable data-protection law are your consent where you choose to provide it, steps requested by you before entering a contract, performance of a contract, compliance with legal obligations, and our legitimate interests in operating, securing and improving our services. Where we rely on legitimate interests, we consider the effect on your rights and expectations.
4. WhatsApp
The WhatsApp button remains disabled until you actively tick the consent checkbox. When you select “Open Chat”, your browser will direct you to WhatsApp with a pre-filled greeting to Geoff's Lab at +356 9960 4196. WhatsApp is a separate service operated by Meta. Meta may receive your telephone number, profile information, message content, device data and other information under its own terms and privacy policy.
We use WhatsApp messages to respond to your request and manage the resulting business relationship. You may withdraw consent for further WhatsApp communication by telling us in the chat or emailing us. Withdrawal does not affect processing already carried out lawfully, and we may still retain records where required for contractual, security or legal reasons.
5. Cookies and local storage
Essential technologies may be used for security, contact-form protection and to remember your cookie choice. Optional analytics or marketing cookies are off unless you accept them. You can revisit your choice using “Cookie settings” in the footer. Browser settings can also remove stored data, although disabling essential storage may affect site features.
6. Who receives information
We do not sell personal data. Information may be shared only where necessary with trusted hosting, email, communications, security, professional-advisory or technical service providers; with a client or supplier involved in the relevant project; or with public authorities where the law requires it. Providers are given only the information needed for their role and are expected to protect it.
Some providers, including WhatsApp/Meta and internet infrastructure providers, may process data outside Malta or the European Economic Area. Where applicable, transfers are protected using recognised legal safeguards, such as an adequacy decision or approved contractual clauses.
7. How long we retain data
We keep personal data only for as long as it is reasonably needed for the purpose collected. General enquiries that do not lead to work are normally reviewed for deletion within 24 months. Client, project and support records may be kept for the duration of the relationship and afterwards where needed for continuity, security, establishing or defending legal claims, and statutory accounting or tax requirements. Security logs are generally kept for a shorter period unless an incident requires investigation.
8. Security
We use proportionate technical and organisational measures designed to protect data, including access controls, secure administration, system maintenance, backups where appropriate and limited access based on business need. No internet transmission or storage system can be guaranteed completely secure, so please use an appropriate channel for confidential material.
9. Your rights
Subject to applicable law, you may ask for access to your personal data, correction, deletion, restriction, portability, or object to certain processing. Where processing is based on consent, you may withdraw it at any time. We may need to verify your identity before completing a request.
Send requests to info@geoffslab.com. You also have the right to lodge a complaint with Malta's Information and Data Protection Commissioner or another competent supervisory authority.
10. External links and services
This website links to third-party websites, applications and project services. Their privacy practices are controlled by their respective operators. We encourage you to review their policies before submitting personal data.
11. Changes to this policy
We may update this policy when our services, providers or legal obligations change. The current version and its update date will always be published on this page.
